Grant and Contracts Accountant

National Position

Based in Nairobi with frequent travel to Northern Kenya

One Year Contract

The incumbent will be responsible for budgeting, financial accounting and reporting of assigned grants and donor projects in the EWCARDC as well as providing financial support and training to affiliates and implementing partners

The candidate will have a bachelor’s degree in accounting and CPA III, three years working experience in an international NGO within a regional setting and ability to work independently and make routine decisions.

Working knowledge of SUN system and computer applications, ability to travel on short notice, communication, interpersonal and facilitation skills are essential to this role.

Job Title: Accountant – Grants and Contracts

Department: Finance & Administration

Location:
Nairobi, Kenya

Responsible To: Regional Finance Director

Relations with Others: Close working relationship with Project Managers, and finance staff of affiliates and partners

Purpose: Responsible for budgeting, financial accounting and reporting of assigned grants and donor projects in the EWCARDC and providing financial support and training to affiliates and implementing partners

Responsibilities:

1.1 Grant and Contract Management

  •     Prepare and submit to Regional Finance Director interim and final donor financial reports for review at least one week before the due date
  •     Prepare and circulate monthly donor and HtA monitoring (expense vs budget) report to programme managers by 22nd day of the month for assigned project codes
  •     Promptly follow-up and make adjustments to monthly and interim donor reports based on feedback from the program managers.
  •     Review monthly donor reports with the relevant managers and point out areas with financial risks in line with donor conditions for the managers to take proactive corrective action.
  •     Assist project managers with budget re-alignment and other budgetary issues
  •     Ensure expenses are charged to correct project and budget lines
  •     Receive, review and correct monthly returns from implementing partners for assigned projects and prepare for submission to UK office by 7th day of each month
  •     To assist in getting monthly cash flow requirements from implementing partners and project managers and forwarding this to the Accountant - Secretariat for consolidation and forwarding to UK Secretariat.
  •     Keeping a file for each project and filing all returns and other correspondence on file and ensuring security and confidentiality of the documents in line with HelpAge policy on document retention, retrieval and archiving.
  •     Periodically visit partners, Lodwar office and review their financial and administrative policies and procedures, identify shortcomings and train partners in such areas.
  •     Implement financial and administrative policies as laid down in the Finance and Administration Manuals in use.

1.2 Budgeting

  •     Train and assist project managers in proposal budget preparation for various donors
  •     Train and assist project managers in budget re-aligmnet and review
  •     Train and assist project managers in budget phasing and preparation of Detailed Budget Sheet for SUN system.
  •     Assist in the preparation of the EWCARDC annual and mid-year financial review (MYFR) budgets

1.3 Others

    Assist Accountant – Secretariat on demand or in his/her absence

Other Features of the Job (Working conditions etc)

The position is based in Nairobi but with constant travels to the field (Northern Kenya) to assist partners with training and other donor compliance issues.

Respond to any emergency issue affecting partners and Country Offices at short notice

Person Specification:

Essential:

  •     Good working knowledge of computer packages preferably SUN systems, word processing, spreadsheets, power point and database packages.
  •     Ability to work independently and make good routine decisions.
  •     Excellent command of English and Kiswahili both written and oral
  •     Able to travel at short notice
  •     Exposure to and familiarity with the region’s work environment

Experience:

    Minimum of 3 years experience in an NGO multi-cultural setting

Knowledge/Skills:

  •     Strong interpersonal and communication skills.
  •     Training skills
  •     Performance management skills.

Education Criteria:

    A Bachelor’s degree in accounting and CPA III or equivalent professional level

The key responsibilities of this role will include but not limited to:-

  •     Receiving, filling and dispensing drugs and medical supplies  as  ordered or prescribed by a qualified medical practitioners
  •     Inventory control
  •     Ensuring pharmacy equipments are kept in good working condition
  •     Ensuring regular updates on the various pharmacies registers e.g. DDA, ARV’s e.t.c.
  •     Filling/storing  prescriptions and maintaining them for the required number of years as guided by law
  •     Ensuring prompt communication to clients of any therapeutic incompatibilities and potential drug interactions

The key responsibilities of this role will include but not limited to:-

  •     Ensuring all Laboratory equipments are in good condition before starting the day’s work

Ward Clerk

The key responsibilities of this role will include but not limited to:-

  •     Maintaining and issuing accurate ward stock through the ERP

  •     Preparing birth notifications and burial permits
  •     Managing the admission documents in the patient file to ensure they are completed as per policy
  •     Managing the pre authorization process with the insurance companies and ensuring claim forms are correctly filled

  •     Maintaining the NHIF claim system and ensuring letters from insurance companies are received and seeking for any extension thereafter

North Coast Beach Hotel Jobs in Kenya: Food & Beverage Manager, Procurement Clerk, Sous Chef, House Keepers and Receptionist


1. Food and Beverage Manager

Applicants must be holders of a Bachelors Degree in Hospitality and Tourism Management, Hotel Management or an equivalent qualification from a recognized University.

In addition, the applicant should meet the following requirements:

  •     Must be computer literate
  •     Have at least three (3) years relevant working experience in a busy Hotel environment.

Applicants with an Advanced Diploma in the relevant field may also be considered on condition that they have at least five (5) years relevant working experience.

The successful applicant will be responsible for the management of food and beverage preparation and service.

2. Procurement Clerk


Applicants should be holders of KCSE mean Grade C (plain) / KCE Division III and  above.

The applicants must be knowledgeable in procurement procedures and holders of a Diploma in Purchasing, Supplies Management or equivalent professional qualification from a recognized institution.

In addition, the applicant must have the following:

  •     At least three (3) years post qualification relevant working experience in at least a 4 star hotel.
  •     Computer literacy.
  •     Ability to work independently.
  •     Knowledge in Micros Fidelio hotel system OR any other relevant computer program will be an added advantage.

3. Sous Chef

Applicants must be holders of KCSE Mean Grade C (plain)/ KCE Division III and above.

They must have a Certificate in Food Production or equivalent qualification from a recognized institution.

In addition they must have the following:

  •     At least three (3) years working experience in at least a 4 star hotel.
  •     Evidence of Computer literacy.

WASH Project
Reports to the Project Manager and
stationed in Kajiado

PURPOSE OF JOB :- To ensure the
successful implementation of project
activities in the project area.

KEY RESPONSIBILITIES:-
* Participate in planning ,
implementation, monitoring and
evaluation of project activities.
* Facilitate capacity building activities
for the project implementation team
and other stakeholders including the
community .
* Participate in writing technical
project reports for donors as well as
for internal purposes.
* Carry out operations research ,
documentation and sharing of results
to be used in advocacy for policy
influence .
* Work with other project staff to
document and disseminate best
practices and lessons learnt.
* Promote partnerships and
networking with relevant stakeholders
including Government of Kenya
Ministries, NGOs and the community .
* Promote project integration and
contribute to project development and
growth.
* Participate in the development of
new concepts and proposals for fund
raising.

QUALIFICATIONS AND COMPETENCIES:-
The ideal candidate should have a first
degree in Environmental Health , Public
Health or equivalent.
S/ he should have at least three (3 )
years hands on experience in
implementation of WASH projects,
experience in implementing
Community Led Total Sanitation (CLTS )
projects.
S/ he should have strong
interpersonal & communication skills,
ability to work under minimum
supervision and a team player .
Assistant Programme Accountant
Reporting to the Programme
Accountant and based in Nairobi

PURPOSE OF JOB :-
The position will be responsible for
providing general accounting support.

KEY RESPONSIBILITIES:-
* Assisting in financial management
and cash flow planning .
* Supporting the various projects in
budget preparation, implementation
and monitoring .
* Accurate coding of payment
vouchers and files for data processing
and/or payment.
* Reconciling control and balance
sheet accounts and clearing all
reconciling items periodically.
* Updating data in the SUN
Accounting System .
* Preparation of financial reports to
donors
* Monthly reconciliation of suppliers ’
statements against ledger balance and
liaising with the respective suppliers in
a bid to clear any reconciling items .
* Monthly preparation of internal
recharges/recoveries .

QUALIFICATIONS AND COMPETENCIES:-
* The candidate should have a
minimum of a Bachelors Degree in
Commerce (Accounting/ Finance
Option) with at least CPA Part II or its
equivalent.
* Two ( 2) years work experience in a
large and busy NGO.
* In addition , the candidates must
have sound ICT knowledge especially
in the MS Office Suite .
* Experience in SUN accounting
system will be an added advantage.
* Furthermore, he/ she must have a
high level of confidentiality , honesty ,
integrity and the ability to work under
minimal supervision.
* Excellent communication skills and
team playing ability are also essential
to this position .
