Customer Service Co-ordinator Jobs

 Job Title: Customer Service Coordinator

Reports To: Customer Service Manager

Position: 1

Salary: 60,000

Role Objective

The customer service representative will be responsible for maintaining project files; ensuring documentation is compiled and stored for future reference and assist in supporting best project practices.

Duties and Responsibilities

  •     Deal directly with customers either by Telephone, Email and Face to face
  •     Follow up on progress on customer inquiries to ensure customer satisfaction.
  •     Cross check projects requirements to ensure the appropriate level of quality assurance has taken place, assist in peer review s of others project deliverables.
  •     Manage the backorder management process to show awareness inventory availability
  •     Raise job cards as per the customer orders on the LPO
  •     Support Customer Service Manager with reporting activities.
  •     Acting as document librarian uploading project information onto on-line management system such as client Relation Management System (CRM) and Microsoft Project Server.
  •     Analyze, evaluate and resolve customer enquiries at the first point of contact
  •     Deal with customer complaints and resolve them with a positive problem-solving attitude.
  •     Direct requests and unresolved issues to the designated resource person.
  •     Interact with production department to assist customers with trouble resolution
  •     Keep records of customer interactions and transactions
  •     Actively look for ways in which the service could be improved
  •     Coordinate  the project team to deliver projects within time and budgeting constrains
  •     Support product manager at project team with day to day tasks as appropriate to role.
  •     Respond to input from customers and production department (complaints, praise and concerns) to help us identify better ways of providing the service
  •     Identify root causes of issues and put forward proposals to the directors for improving the system and service to ensure that a longer term solution is provided.
  •     Undertake customer satisfaction research.
  •     Any other duties as assigned.

Qualification

Academic Qualification:

  •     Diploma in Business Information Technology/ Telecommunication and Information Technology/ electrical and Electronic engineering or a Higher National Diploma in Telecommunication.
  •     2 years minimum experience in Information Technology Installation Industry experience
  •     Extensive certification in project Management and customer care.

Knowledge Requirement.

  •     Proficiency in Microsoft Visio and Microsoft project application
  •     Exposure to prince2 projects  management Methodology
  •     Information Technology project management.

KEY PERFORMANCE AREAS FOR THE

PRODUCTION SUPERVISOR
Reporting to the LOBP Manager , the
Production Supervisor will be

coordinating, monitoring and
controlling all lubes production and
components (base oils and additives)
receipt activities while ensuring that all
processes meet the Shell Lubricants
Quality System (LQS) and HSSE
standards.
The Production Supervisor also
accounts for stocks of base oils,
additives, blended and filled products
to meet allowable loss/ gain targets.

KEY PERFORMANCE AREAS FOR THE ROLE:
* Schedule and execute production
programmes to ensure production
volumes meet production plans (by
product type, quality , quantity , timing ).
* Manages Ship- to-Shore Operations
for base oil receipts, packed additives
receipts and bulk loadings .
* Ensure production eesource levels
and shifts are organized , enabling
Production volumes to be achieved ,
including having competent
contracted staff assigned duties .
* Pro- actively manage the integration
of production activities with
production plans .
* Ensure production activities are
carried out in accordance to LQS,
HSSE (Health , Safety, Security and
Environment) procedures and ISO
9000:2000 standards are upheld at all
times.

MINIMUM REQUIREMENTS
* At least a University Degree
preferably in Production or
Engineering from a recognized
institution.
* At least 3 years working experience
in a production environment .

CUSTOMER SERVICE CENTRE CO -
ORDINATOR
Reporting to the Customer Service
Centre Team Leader, the Customer
Service Co- ordinator will be
responsible for taking all customer
calls, log in orders, maintenance
requests, complaints updating open
calls from time to time, answering to
their queries while ensuring smooth
interface with other departments like
Central Scheduling .
Follow up on open calls to closure .

KEY PERFORMANCE AREAS FOR THE

* Receive inbound service calls or
receive visiting customer requests

service within agreed service levels .
* Take/ amend orders, provide credit

FILLING ASSISTANT
Reporting to the Production
Supervisor, the Filling Assistant will be
responsible for co- ordinating all filling
activities in accordance with LQS and
ISO 9001: 2000 requirements while
adhering to HSSE standards to meet
set filling targets.

KEY PERFORMANCE AREAS FOR THE
ROLE:
* Co-ordinate all filling operations in
accordance with described LQS, HSSE
(Health, Safety, Security and
Environment) guidelines and ISO
9001:2000 standards .
* Ensure Filling operations meet the
agreed production plan volumes as
set in the monthly plans and daily
production plan adherence (PPA)
meetings.
* Ensure the right packs are released
to the filling lines and periodic checks
done on weights, capping , sealing and
packing of the product to ensure
standards are upheld .
* Work with Maintenance Supervisor
to ensure filling and associated
equipment availability is maximized .
* Work with the laboratory to ensure
timely release of pre- fill samples and
optimize set up times .

MINIMUM REQUIREMENTS.
* At least a Diploma Certification
preferably in Production or
Engineering from a recognized
institution with at least 3 years
working experience in a
Manufacturing Environment .
* Knowledge of asset integrity
management, HSSE and ISO standards
is essential.
