Position Title: HR & Administration Assistant

Duty Station: Regional Office, Nairobi -Kenya

Duration: 1 year, renewable

Role

The HR & Administration Assistant is responsible for providing HR and Administrative support to the Regional Office in Nairobi and Field office staff to ensure effective and efficient operations in the East Africa region.

Main Responsibilities and Duties

  •     Participate in payroll administration, administering salary advances and processing statutory payments.
  •     Participate in leave management for the staff in the region by updating and monitoring the leaves.
  •     Coordinate recruitment and separation processes by preparing the interview documents, follow-up on reference checks, preparation of contracts, and preparation of induction package.
  •     Assist in the coordination of all staff benefits (Medical, Group life insurance etc) and welfare in conjunction with the HR & Admin. Manager.
  •     Coordinate the performance review exercise in the region.
  •     Coordinate the administration functions of the Regional Office by overseeing the payment of utility bills, monitoring of office supplies, facilitation of meetings and managing the staff personnel files.
  •     Responsible for knowledge management within VSF Belgium

Essential or Minimum Requirements

Education

    Diploma or Higher Diploma in HR and Business Administration.

Knowledge and experience

  •     Minimum of 3 years experience in HR and Administration
  •     Working experience with an NGO will be an added advantage
  •     Working knowledge of the employment act

Skills

  •     Computer literacy with very good MS Excel, Word and Power point
  •     Strong interpersonal and communication skills
  •     Good writing skills
  •     Ability to work independently, under pressure and meet strict deadlines
  •     Fluency in written and spoken English.
  •     Ability to work independently.

Human Resource Manager Job.
LVNWSB/P8/2010 1 Position
Reporting to Managing Director, the
candidate will provide expert advice
in the management of the human
resource function.

KEY DUTIES & RESPONSIBILITIES
* Develop and implement human
resource strategies, policies,
procedures and guidelines designed
to achieve the Water company
strategic vision and goals.
* Design and coordinate the
implementation of staff career
development programs to ensure
continued supply of competencies
and skills for effective operation of
the company.
* Assess staff training needs and
design relevant training and
development programs to meet
performance gaps.
* Develop and effectively manage the
staff grievance procedure so as to
ensure a conducive working
environment that is motivating to
staff.
* Ensure compliance with relevant
labor legislation and HR policies,
procedures and guidelines.
* Coordinate staff recruitment, staff
induction, retention and separation
processes.
* Develop and manage staff welfare
schemes such as medical, insurance,
e.t.c.
* Advise on manpower planning and
staffing levels based on the company
corporate plan and growth structure.
* Preparation and management of
staff operational budget as an HR
function.
* Develop objective performance
management systems and criteria for
performance measurement and
reward system.
* Prepare timely management reports
and other relevant communications
to stakeholders.

REQUIREMENTS FOR THE POSITION:
* A Bachelor’s degree in Social
Sciences from a recognized
university.
* Must have a postgraduate diploma
in HRM.
* At least 5 years progressive HRM
experience in a busy organization.
* Must demonstrate ability to develop
metrics that assess and help guide
execution of workforce strategy
* Excellent team leadership and
management skills.
* Ability to make independent
judgments which support business
and HR objectives.
* Must be computer literate but eHR
knowledge will be added advantage
* Sound knowledge and working
experience of Kenyan Labour Laws.
* Must be registered by reputable HR
professional body.
* Possession of a Masters degree is
an added advantage
* Be aged between 30 – 45 years

successful candidate will provide
Employee Services Support in areas
relating to Staff confirmations,

KEY RESPONSIBILITIES
* Provide administrative/logistical
assistance around recruitment
initiatives;
* Provide feedback to candidates and
applicants in liaison with talent
acquisition team;
* Updating, verifying and filing of
documents;
* Management of temporary staff in
terms of documentation, contracts
and leave;
* Updating of temporary staff
database while ensuring accuracy
and compliance with relevant
registration;
* Issuing Temporary staff with new/
renewed contract letters before
joining the company;
* Liaising with HRBPs in conducting
orientation and induction program to
new staff;
* Uploading of all temporary staff
and Interns details on Oracle at the
point of entry as well as updating
staff details in Oracle as and when
they are received from the respective
divisions;
* Manage the entire staff referencing
process such as follow-ups,
communication and confirmations
and maintain a database that
contains status of each new staff
references;
* Generating and analyzing weekly
and monthly report as required by
the business;
* Providing administrative support
within the section.

MINIMUM REQUIREMENTS
* Degree in Human Resources
Management plus a higher Diploma
in Human Resource Management;
* 2 years experience in an
information management role in a
highly computerized commercial /HR
environment;
* Administrative and analytical
support in the area of Information
management and reporting;
* Basic understanding of
Employment Standard registration,
Compensation, benefits and
recruitment;
* Proficient MS Office Skills;
* Planning, decision making and
problem solving skills.

Purpose of the job
Provide support to all aspects of the
human resources function by
ensuring the availability of a
competent and well-motivated staff
throughout the Country Program in
line with our policies and procedures.

KEY RESPONSIBILITIES
Assist in the interpretation and
implementation of AMREF HR policies
and procedures.
Assist in manpower planning and

QUALIFICATIONS AND COMPETENCIES
The ideal candidate should have a first
degree and a diploma in Human
Resources Management.
Minimum two years relevant work
experience in human resources in a
busy environment.
Working knowledge of HRMIS will be
an added advantage.
Must have detailed understanding,
knowledge and experience of HR
functions and labour laws.
Excellent interpersonal and
communication skills and ability to
maintain confidentiality, tact and
discretion when dealing with people.
